It often happens that users inattentively make changes to the document that need to be reverted. The Microsoft Word word processor has the ability to undo and redo the last action. The first command is intended to undo the last actions of the user, and the second - to again, without committing these actions, cancel the cancellation of actions. Unclear? Then let's look at these extremely important functions with a simple example.

  Working with a document in a Microsoft Word word processor is like scrolling a movie strip - each user action, whether inserting an image, typing a character or deleting it, is like a frame of a movie. And these frames are written by Microsoft Word. At any time, the user can go back a few frames, and then go back to the last frame executed.

In Microsoft Word, there are two options for working with undo and redo functions:

  • the first  - using keyboard shortcuts. To undo the last user action, use the key combination Ctrl + Z, and to repeat the already completed and canceled actions, use the combination Ctrl + Y;
  • second  - the use of buttons specially designed for this purpose on the quick access panel, which are located in the upper left of the main working window of Microsoft Word. In this case, to cancel the last user action, click the button, and to repeat the already completed and previously canceled actions, click the button.

The Microsoft Word text processor offers users huge functionality for working with documents of any size and complexity. Mastering the techniques described in this article will help you work with documents several times more efficiently, without being distracted by formatting, and this is a guarantee of the user's concentration on the content. The following are some basic tips to use when navigating a document.

  • Use different document display modes to solve different tasks. In each mode, unnecessary interface elements have been specially removed and an emphasis has been placed on those elements that help solve specific problems for each type.
  • Use the hotkeys. Learning how to use keyboard shortcuts, you can significantly speed up work with a word processor.
  • Copy and cut the contents of the document to move and duplicate contents in different places in the document. If parts of a document are similar, it’s easier to create a copy and change a small part, rather than rewrite everything again.
  • Use the clipboard to work with several passages of the document contents at once. Even if you change the location of two passages of the document, the clipboard will reduce the number of operations.
  • Use the Navigation panel to view and edit the structure of a future document. A unique feature of the new version of Microsoft Word allows you to edit the structure of the document with a simple click of the mouse.
  • Use the Navigation panel search to find simple expressions and the Find and Replace dialog box for complex cases.

Almost every user faced a situation where certain actions performed on a computer, instead of the expected result, are harmful, and I want to understand how to undo the last action on a computer. For example, it can be downloading various programs that have been infected with viruses or anything else.

Microsoft long ago realized that the main enemy of the computer and the operating system is far from some hacker or some other malefactor, but the user himself, because it is through their actions that people most often cause their devices to malfunction. That is why the function of how to undo the last action on the computer was introduced, and it is called "Restoring the operating system."

What is it?

Restoring the operating system is a feature that allows you to roll back the computer to a specific date when its characteristics and data were saved. It is worth noting that this data can be saved either automatically or manually by the user, depending on how this function was configured.

The advantage of this method is that it allows you to completely remove all the negative actions that you performed on your computer for a certain time. But, considering how to undo the last action on the computer, it is often not possible to use it, because it cancels simultaneously several actions committed on the computer, regardless of whether they were harmful in themselves.

Automatically and manually

As mentioned above, the system can be saved either manually by the user or automatically. In professional circles, this is called “backup backup”, and it must be done, since it is impossible to undo the last action on the computer without it.

To configure this in Windows 7, you need to go along the path: "Control Panel"\u003e "Recovery"\u003e "File Recovery"\u003e "Set Up Backup". Here you will need to select the main parameters and start archiving. In particular, you can choose whether to save only certain folders, or even provide a choice of folders to the operating system so that it first of all stores the most important information.

What to choose?

The advantage of automatic copying is convenience, but you need to allocate a large amount of free space on your hard drive, and it is often not suitable, since it’s still possible to cancel all actions on the computer in the last day, but it’s more difficult in a month or a week.

That is why it is recommended that archiving is done exclusively by hand. In particular, it is especially recommended by specialists for Windows 8, since undoing the latest actions on a Windows 8 computer is required mostly more often. To configure it in this system, you will need to go to the "Backup and Restore" section through the "Control Panel", then select "Create a System Image" and follow all the instructions in the wizard.

Data recovery is also important



It is worth noting that, among other things, it is highly recommended if you store any important information on your computer. Thus, if some kind of malfunction occurs during the operation of your equipment, and you lose all the data stored on the hard drive, the backup will allow you to quickly return any files you need in just a few minutes without the involvement of specialists from the outside, which will save you not only nerves and time, but also money.

This article describes three operations that will help you undo erroneous actions and improve editing efficiency.

Cancel action

You can undo almost all commands executed in Excel with the command Cancellocated on the quick access toolbar. The Quick Access Toolbar is usually displayed to the left of the Excel title bar. You can also click Ctrl + Z  to cancel actions.

Select Cancel, after you have mistakenly executed some command, and this command will be canceled, as if you had never executed it at all. You can cancel the result of the last 100 completed commands by pressing the button Cancel  many times.

However, you cannot undo some actions. All commands executed with the button File, such as saving a book, cannot be undone. If you press the button in the direction of the arrow to the right of the button Cancel, then you will see a list of the latest commands that can be undone (Fig. 6.1). You can immediately select a set of such commands to undo several actions with one click. In the figure, seven actions are highlighted.

Keep in mind that you cannot undo the effect of executing a macro. In fact, running a macro that modifies a sheet erases all information regarding the undo. This tangible drawback of Excel is not in Microsoft Word.

Return action

The Reset button (located to the right of the Undo button on the quick access toolbar) essentially cancels the Undo command. If you have canceled too many actions, you can click the Return button (or click Ctrl + Y  or F4) to return commands that have been canceled.

Repeat action

You can repeat many operations by pressing Ctrl + Y  or F4. This command simply repeats the last action. However, if the last operation was the Cancel operation, the result of its action is canceled (as described in the previous section).

Repeating commands can be helpful in saving time. I will give an example. You could apply many formatting options (specify font size, bold, background color and border) for a cell using the Format Cells dialog box. After closing the dialog box, you can easily set the same formatting settings for other cells or ranges by pressing Ctrl + Y. Or we may need to insert blank lines at specific places in the sheet. To do this, run the command Home → Cells → Insert → Insert rows on a sheet once, then place the cursor in the cell where you want to insert the next row, and click Ctrl + Yto repeat the row insert command.

Excel also has a button Repeatbut usually it’s not available. Despite this, add it to the quick access toolbar.

  1. Right-click on the quick access toolbar and select Customize Quick Access Toolbar. As a result, a dialog box opens. Excel Options  on the tab Quick Access Toolbar.
  2. Drop down list Choose Team  from select item Commonly Used Commands.
  3. In the list of commands, select Repeat.
  4. Press button Addto add the selected command to the quick access toolbar.
  5. Click OKto close the dialog box Excel Options.

You may ask why add a button at all Repeat  quick access panel if you can use a keyboard shortcut Ctrl + Y. Firstly, when you hover over this button, Excel will display a description of the repeated operation (Fig. 6.2). Secondly, the button Repeat  becomes inactive if you cannot repeat the last command. - a kind of visual signal that will help to avoid unnecessary attempts to repeat something that simply cannot be repeated.

Unfortunately, the repeat function is not always reliable. In some cases, you may find that pressing Ctrl + Y  gives no effect (although it should). In other situations, pressing Ctrl + Y  can repeat the command that you ran before the previous command.
